What is a document management system?

A document management system is software that stores all of an organisation's documents in one controlled place, with search that looks inside the files, permissions that decide who sees what, version history, and a log of every action taken on every document. It replaces scattered shared drives and email attachments.

How is a DMS different from Google Drive or SharePoint?

A shared drive stores files; a DMS controls them. The differences that matter are OCR search inside scanned documents, enforced version control, per-document audit trails you can hand to an auditor, retention rules, and approval routing. Drive and SharePoint can be the storage layer underneath — but on their own they do not give you those.

Can it search inside scanned paper documents?

Yes. Scanned PDFs and images are processed with OCR on upload, so their text becomes searchable. You can find a ten-year-old scanned contract by a phrase inside it rather than by remembering what someone named the file.

Can we move our existing shared drive into it?

Yes — migration is part of the work. We move your existing structure across, run OCR over the backlog so old scans become searchable, and deduplicate the copies that inevitably accumulated. You do not start from an empty system.

Where is the data stored?

Wherever your rules require — your own servers, a cloud region you choose, or a specific country if data residency applies to you. We set this before anything is migrated, because moving it afterwards is expensive.
